Canino Psychotherapy is a well-established private practice based in Dumbo, Brooklyn. Since 2005, we’ve grown to a team of over 65 therapists and are known for providing exceptional care with kindness, respect, and professionalism.

We’re currently hiring a Client Scheduler & Office Manager to support our expanding practice. This person will play a vital role in client onboarding, scheduling, and daily operations—helping us provide seamless care and a welcoming experience from the first point of contact.

What You’ll Do:

  • Schedule clients with the right therapist based on fit and availability
  • Respond promptly to leads via email and phone, converting inquiries into new clients
  • Coordinate and manage therapists’ calendars
  • Assist clients with onboarding, insurance questions, and general support
  • Verify insurance benefits and resolve basic billing or coverage issues
  • Use scheduling tools and platforms such as ZocDoc, Therapy Notes, and Headway
  • Communicate clearly and helpfully with both clients and therapists

What We’re Looking For:

  • Strong communication skills, both written and verbal
  • Extremely detail-oriented and organized (Type A is a plus!)
  • Tech-savvy, with experience using Gmail, Google Workspace, Slack, and scheduling software
  • Familiarity with health insurance basics and client billing support
  • Ability to follow up quickly and thoughtfully with leads and current clients
  • A helpful, client-focused attitude and an interest in mental health and wellness
  • Previous experience in a scheduling, office management, or healthcare support role (preferred)

Role Details:

  • Part-time to start (3–4 days/week), with the potential to grow
  • Flexible hours between 8am–8pm
  • Fully remote – no location preference
  • Independent contractor or part-time employee setup, depending on fit

Qualifications:

  • 1+ year of experience in a similar role (healthcare preferred)
  • Strong multitasking and organizational abilities
  • Fluent in English
  • Self-starter comfortable working independently in a remote setting
